Permits Flow Procedures - Evaluate
Many activities need to occur in this grouping. They do not
necessarily have an exact order as designated by the dashed box around them.
Answers to the following need to be found : Is permit for work in our domain? Is permit
for work allowed by the department? Is the party applying for the permit the correct
party to do so? Does the scope of work necessitate direct contact or meetings? The form
needs to be correctly filled out and complete. This may be a simple fix or may require
rework by the applicant. A thorough compliance check entails reviewing the request
against applicable codes, regulations, standards, traffic law. Supporting documents
need to be checked. They may include such things as: Plans, Insurance certificates,
Studies, Environmental clearance, Traffic control, Joint use agreement, ADOT Lease,
letters from other agencies. Not a all requests have the required supporting documents.
In that case, further submittals should be requested. It is the responsibility
of the requestor to remedy any deficiency. After determining the
distribution routing (i.e., Regional Traffic, Drainage, Roadway Design, Design
Consultants, Landscaping Supervisor, Traffic Design, etc.), prepare and include an
administrative completeness letter and make distribution. If the request
is denied or the requestor fails to respond in a timely manner, the file will be closed.
Written notification of request status and may instruct the requestor to resubmit a
request or correct the deficiency identified by ADOT.
